Get these details before booking

Use this checklist when speaking with the insurer and rental company. Keep their answers together so you can compare the approved expense with the reservation you are about to make.

• Who pays the rental company: the insurer directly, or you first with a later reimbursement request?

• What daily amount and total amount have been approved? Ask whether taxes and fees are included.

• Which vehicle class is authorized, and what happens if only a more expensive vehicle is available?

• What are the approved start and end dates? Who must authorize an extension?

• Which charges would remain yours, including any deposit, optional upgrade or additional product?

Request written confirmation and save the reservation terms. If a verbal answer differs from the written authorization, ask for clarification before treating the larger amount or longer period as approved.

Keep a record of what you actually paid

Save itemized rental invoices, receipts, written authorizations and messages about delays. Separate amounts paid by the insurer from amounts you paid yourself. This makes it easier to explain an unpaid balance without confusing an estimate with an expense already incurred.
